Wild Gravel 2025 After Party EOI

Wild Gravel is a mass participation cycling and running event set in the breathtaking Koi Kyeunu-ruff (Stirling Range National Park). Established in 2024, this event has already seen significant interest, with greater growth expected for 2025.
The Shire of Gnowangerup is seeking expressions of interest from individuals, businesses, or organisations interested in hosting the official 2025 Wild Gravel After Party—a key celebration where participants, supporters, volunteers, and event staff come together to mark their achievements in an exciting, high-energy atmosphere.
We want to hear your vision for the ultimate After Party experience!
Event Details: (All figures are estimates)
- Event Date: Saturday, 11 October 2025
- Main Event Time: 06:00 - 17:00
- After Party Time: Approx. 14:00-22:00
- Expected Participants: 500-800
- Total Event Day Attendees: 700-1100 (includes family, friends, volunteers, event staff)
- Potential After Party Attendees: 400-800
After Party Hosting Requirements
The selected host will be responsible for delivering a vibrant and well-organised event that meets the following minimum requirements:
Venue & Logistics
✔ Suitable party venue with sufficient space & facilities
✔ Seating & furniture for attendees
✔ Bar & beverage service (including licensed alcohol sales)
✔ Catering options (e.g., food trucks, stalls)
✔ Audio equipment for speeches & presentations
✔ Entertainment (e.g., live music, DJ, performances)
✔ Lighting & atmosphere enhancements
✔ Overnight accommodation options (camping or detailed logistics for nearby stays)
✔ Child-friendly activities
Event Standards & Compliance
✔All-ages event with free entry
✔ Free parking for approximately 300 vehicles
✔ Beverage service must include:
- Alcohol sales (licenses & compliance required)
- Cash & EFTPOS payment facilities
- Cool room or refrigeration equipment Free drinking water stations
✔ Waste management with clear separation for recycling/containers for change & general waste
✔ Diverse food options, including vegetarian, vegan & gluten-free choices
✔ Entertainment & activities suited to a festival-style atmosphere
✔ Audio system for announcements, speeches & awards
✔ Marketing & social media engagement before, during & after the event
How to Submit your Expression of Interest (EOI)
Interested applicants should submit a detailed proposal outlining:
- Your vision for the After Party, including any unique ideas or offerings
- Venue details, including location, capacity, amenities, photos, and site maps
- Logistics & operational plans, covering:
- Bathroom facilities,
- First aid provisions,
- Power & water access
- Transport options (if required),
- Staffing requirements,
- Licensing & compliance details
- Accessibility considerations
- Contingency plans
- All requirements outlined in After Party Hosting Requirements
